Taroby is a web 2.0 SaaS based messaging and collaboration suite that enables sharing of email accounts among team members. Email seems to be one of the most efficient ways of communication in our time. In recent years however, it has evolved from a pure communication method to become many things more, resulting in jammed inboxes, unfinished work and frustrated managers. Most existing email applications have not done much to address this evolution. Taroby wants to change this.
In traditional email clients, the inbox is a mere interface to read and write emails. Taroby however is something different: Through its innovative functions, it makes the inbox much more powerful than ever before, providing new strategies and a competitive edge to the user for working more efficiently and productively.
It empowers “normal” inboxes with a complete work flow, task management and ticket system and thus helps organizations to holistically improve their internal and external communications. It is ideally suited for SMEs or work groups of any kind. For more information visit Taroby home page.
Some features include:
- Sharing of email accounts with others
- Access- & restriction rights management (e.g. read / write / delete)
- Assigning of messages to members in the team
- Attaching of comments per message (e.g. working instructions etc)
- A complete overview of all incoming message streams (Unified Messaging: Faxes, SMS,E-Mail, Postal...)
- Usage of predefined filters and rules for automatic message delivery
- Sharing of folders, text- and design templates
- Complete transparency and tracking of any message (who received, read, forwarded, answered, deleted, assigned, comments left, moved etc)
- Free definable automations (e.g. Follow-up, email and sms reminders, send at a particular time/date, send after authorization and so on)
- No installations on the client necessary
- Automatic updates on central server (SaaS, no need to install any upgrades on local computers in the future)
- Email content, backup and archiving are secure on the users own server or provider of choice (by using IMAP)
- Automatic synchronization with existing systems and email clients (IMAP)
- Sorting and prioritizing of incoming messages via sender authority. Sender authority can be trained according to the individual user or team
PRACTICAL EXAMPLES
Consider Taroby is being used in the sales department of a company: Incoming sales enquiries go to say sales@mycompany.com and the entire sales team can view the messages coming to sales@mycompany.com – now the question is: Who will answer what?
- Within Taroby, every incoming message assumes the role of a task or “ticket” and can be assigned to any member within the sales team. Now everyone knows, who is working on what and instead of forwarding enquiries by email, these can simply be assigned to the best available or most competent member in the team.
- While assigning, the user can leave valuable information (e.g. enter notes or attach documents), f.e. what to consider for this enquiry or this customer.
- If an email is assigned to a user for long, it is easily noticeable by all team members. This motivates users to clear his/her messages faster and move them to the appropriate folder.
- Furthermore Taroby offers an extremely effective history function that tracks all message activities, for example what – when – by whom – and how something was done to/with a message.
- If an employee is on leave, he can simply extend the read/write access for his accounts to a colleague, preventing the interruption of communication flow between him and his customers. To do this no exchange of passwords or access codes is necessary. When back at work, the employee can then simply change back the rights to the previous situation himself.
- Some situations on the other hand demand the approval by a superior: For example while offering special prices or conditions to a customer, the employee can finish the message to the client completely and “send” it – with the option to “send only after approval of X”. Taroby then presents this message to the superior X and will only send the message after the consent has been granted. Otherwise the message will go back for editing to the original employee, along with the necessary instructions received from the superior.
TECHNOLOGIES USED
Taroby uses a number of new AJAX and web 2.0 technologies: It is built using LAMP (Linux, Apache, MySQL, PHP), uses the DOJO toolkit and the JinX framework. All technologies used in Taroby are completely Open Source and have been thoroughly tested for stability, security and volume over the years.
SYSTEM REQUIREMENTS
Being OS independent, Taroby works with any standard internet browser (Firefox 2+, Internet Explorer 7+).
